Parents’ Association (AHSPA)

The Abbot’s Hill Parents’ Association (AHSPA) exists for two reasons: to raise funds to finance additional facilities for the School, but also to arrange enjoyable social events for both parents and pupils. These include our formal Balls, the Christmas and Summer Fairs and a host of other fun events throughout the year.

In recent years, the Parents’ Association have provided a new Minibus for the School, a new Outdoor Gym, new sewing machines and a canopy for the Infant Block, which provides shade from the sun and also protection from the elements allowing the children to make full use of the patio in all weathers.

The Parents’ Association have also helped to provide the raffle prizes for School productions. The raffle for the Senior School production of ‘Hairspray’ raised over £1000 for the ActionAid charity!

None of this would be possible without the help of the parents within the School and we are very lucky to have a fantastic team of people who organise and help with the many events which take place throughout the year. We are grateful for the help of the Committees and Class Representatives, past and present, who have worked so hard and made the Parents’ Association such a huge success!

We are currently looking for new parents to get involved! The following roles are required:

Vice Chair:
The Vice Chair of AHSPA supports the AHSPA Chair in carrying out their responsibilities.  The Vice Chair will assist the Chair in organising events and working with and providing guidance to the committees. This may also involve deputising for the Chair in her absence including setting agendas, chairing meetings and meeting the school Executive team. In addition, the Vice-Chair will support the Chair to:

  • Oversee the AHSPA pages on the School website
  • With the Secretary, co-ordinate AHSPA communications with parents and the wider community

The Secretary is responsible for ensuring that there are effective communication links between committee members and between the association and the school. The Secretary deals with all the correspondence that the association receives and minutes committee meetings. The Secretary also makes bookings and other arrangements for forthcoming events.

The role of Secretary is to support the Chair in ensuring the smooth running of the meeting.

The Secretary plays an important part in keeping the lines of communication open between meetings.

The Secretary is required to:

  • receive items to be added to the agenda
  • prepare the agenda in consultation with the Chair
  • handle communication and correspondence
  • be the point of contact between meetings
  • circulate the agenda and any supporting papers in a timely manner
  • advertise meeting dates and times
  • take the minutes of the meeting
  • circulate the minutes
  • check that the agreed actions are carried out.

The Treasurer is responsible for managing and controlling the funds the association raises.  The Treasurer maintains a record of all income and expenditure, handles financial transactions and cash for events, approves payments and manages the amounts available for AHSPA purchases.The Treasurer attends committee meetings, AHSPA meetings and provides a written report.  As the association does not have its own bank account the Treasurer works closely with the school accounts team.

Events Coordinator:
The Events Coordinator is responsible for contributing to the running, organisation and administration of events, as well as suggesting new events and fundraising initiatives. 

The Events Coordinator is responsible for defining, with AHSPA Chair and School, the calendar of AHSPA events.  The Coordinator will ensure that a sub-committee is in place for every event and will contribute to the running, organisation and administration of new events.  The Coordinator will work closely with the sub-committee, events assistants and class reps to deliver the events. S/he will also be a point of contact with the school, ensuring that resources are booked in a timely fashion, key staff are kept up to date and that events are safely planned and staffed.

Chair of Sub-Committees:
Individual sub committees are set up to run events and functions throughout the year as agreed by AHSPA and school.  Chairs of sub-committees are appointed each year for annual events such as Christmas Market, Summer Fair, Quiz Night and for the bi-annual ball.  Additionally a sub-committee is formed for Prep school after school events which includes movie nights and parties.  The Chair will be responsible for running the event supported by the AHSPA executive members. The Chair will work with the class reps to deliver the event.
